ASE Symposium Registration and Info

ASE Interns,


We trust your internship is going well so far and that your projects are coming along nicely. The ASE Symposium is just around the corner, on Thursday, August 20, 2009 at Portland State University. You must register online for the Symposium by Friday, August 7 (see details below). Family and other guests are welcome to attend – be sure to include their full names in your registration form.


Most of the day’s events will take place at the Native American Student & Community Center (710 SW Jackson Street) and at University Place (310 SW Lincoln Street). Please refer to the Campus Map and the attachment for directions.


The Symposium will take place from 12:00pm – 7:00pm; please refer to the general schedule below. We will provide you with a more detailed schedule of events in the coming weeks.


Event Schedule (tentative)

12:00pm - 1:30pm Registration, load PowerPoints and set up posters

1:45 - 2:05pm Welcome Ceremony

2:15 - 3:15pm Oral Presentation Session #1

3:30 - 4:30pm Oral Presentation Session #2

4:30 - 5:00pm Food Buffet

5:00 - 5:20pm Mentor Recognition Ceremony, Wrap-Up Comments and Invitation to Poster Session

5:30 - 7:00pm Poster Session (at University Place)


We want to make sure that you’re starting to prepare for your poster and oral presentation, and have compiled some information for you in this email. On website you'll find a Symposium Preparation Handbook, which outlines details for creating posters and PowerPoint presentations, how to practice your oral presentation, and how to be ready the day of the Symposium.


Please remember, you must register for the Symposium by Thursday, August 7!

Before you complete the registration form, you will need to be prepared with:

· your transportation plan for getting to the Symposium (Corvallis/PDX shuttle provided by ASE, your own transport, etc.)

· titles for your oral presentation and poster, and any special equipment your may need

· names of your guests, and whether they wish to purchase food

Once you are ready with this information, you may proceed to the Symposium Registration form.


You can help us make sure we don't overlook anyone who has provided significant guidance during your ASE internship (supervisors, graduate students, college interns, etc.). Please complete a Co-Mentor Designation Form by Wednesday, July 29.


As part of your ASE internship, you are expected to write thank you letters to your mentors, co-mentors and benefactors. Please see the attached document, providing detailed instructions on how to write thank you letters. We will send you a list of your thank you letter recipients and their addresses next week via email, along with ASE digital letterhead. We encourage you to begin drafting a thank you letter now. Thank you letters must be completed by Friday, August 7.


It was great to see you all at the Midsummer Conference two weeks ago! We would appreciate it if you took the time to complete a Midsummer Conference Survey. Your feedback helps us to improve our summer program and bring back your favorite presenters for future ASE interns.


If you would like to order an ASE t-shirt (see attached design), please fill out the online T-Shirt Order Form. We can deliver your order at Symposium registration, or you may arrange to pick it up at our office. You can pay for a t-shirt using cash or a check upon pick-up at either location.
